Identify Unassigned and Unused SaaS Subscriptions
Overview
Unassigned and unused subscriptions can become an unnecessary expense for your organization, especially if you do not track and handle them regularly. Checking activity for subscriptions and applications in the environment can help cut costs in many ways. For example:
Cancel unused or not needed subscriptions to avoid overspending
- Reassign unused subscriptions to users that may need them
- Optimize renewal decisions
Identify Unassigned Paid Licenses
Find purchased licenses that are not currently in use by following the steps below:
- Go to Home > SaaS Management.
- Check the Annual Costs (Unassigned) widget.
- Navigate to Purchased Licenses > SaaS subscriptions.
- Compare numbers in the Licenses and Assigned Licenses columns.
Use the Unassigned to any user filter to easily view all relevant subscriptions.
Identify Unused Licenses
Find users with assigned licenses who have not used the application either in a while, or at all, by following these steps:
- Go to Home > SaaS Management.
- Check the following widgets:
- Annual Costs (Unused)
- Top 10 Lowest Utilization
- Navigate to:
- Technical Inventory > SaaS Applications > [App] > Application Usage
- Purchased Licenses > SaaS Subscriptions > Users > Application Usage
- For each user, review data in the Last Usage, Usage (30/90 days), and Usage (30/90 days) columns.
