Changing ownership of a license (transferring a license)

Introduction

Every license that you have purchased and recorded in your license inventory has an ownership. This ownership defines which Organizational Unit, Cost Center and Location owns the license. Ownership can be used to grant access to the license for reading, updating or deleting. 

You may want to change the ownership of one particular license or several selected licenses and you can do that at any time using the action "Transfer License". 

This action supports following usage cases:

  1. Transfer entirely: Changing ownership of selected licenses 
  2. Transfer partly: Split the license and provide a certain part of purchased usage rights with a new (child) license that has a different owner that the selected (mother) license.
  3. Revoke previous partly transfer: Merge "child" license with their "mother" license and delete it afterwards.

Transfer a license entirely

  1. Select the licenses you want to transfer in the dataset view
  2. Run the action "Transfer License"
  3. In the first page of the wizard:
    • Select option "Set new ownership"
    • Select organizational dimension you want to change (Organizational Unit, Cost Center, Location)
    • Set new owner at the relevant dimensions
    • Go to next page of wizard
  4. On the second page of the wizard:
    • Leave option "Transfer License Entirely" selected
    • Check and possibly adjust the license pool for the license
    • If the license is using base license (e.g. in case of an update license) select the option how to handle the base licenses:
      • Transfer base license(s) accordingly: Set the ownership of all base licenses (can actually by a chain) to the same new owner
      • Remove base license(s) accordingly: Remove any relation with base licenses. The license will be invalid and you have to assign new base licenses for successful validation.
      • Keep base license(s) unchanged: Do not change ownership of base license and their relation to this license. 
    • Finish the wizard

The system saves your changes and possibly adjusts any existing or possible entitlements according to the transfer.

Transfer a license partly

  1. Select the licenses you want to transfer in the dataset view
  2. Run the action "Transfer License"
  3. In the first page of the wizard:
    • Select option "Set new ownership"
    • Select organizational dimension you want to change (Organizational Unit, Cost Center, Location)
    • Set new owner at the relevant dimensions
    • Go to next page of wizard
  4. On the second page of the wizard:
    • Deselect option "Transfer License Entirely"
    • Provide number of usage rights you want to transfer. This number cannot be higher than displayed number of purchased usage rights.
    • Check and possibly adjust the license pool for the license
    • If the license is using base license (e.g. in case of an update license) select the option how to handle the base licenses:
      • Transfer base license(s) accordingly: Set the ownership of all base licenses (can actually by a chain) to the same new owner
      • Remove base license(s) accordingly: Remove any relation with base licenses. The license will be invalid and you have to assign new base licenses for successful validation.
      • Keep base license(s) unchanged: Do not change ownership of base license and their relation to this license. 
    • Finish the wizard

The system saves your changes and possibly adjusts any existing or possible entitlements according to the transfer.

Revoke previous partial transfer

With this use case the selected license will be deleted. Therefore, please check if there is any information attached to selected "child" license that you need to preserve.  Move this information to the corresponding "mother" license before you perform this action.

  1.  Select the licenses you want to transfer in the dataset view
  2. Run the action "Transfer License"
  3. In the first page of the wizard:
    • Select option "Merge with Mother License"
    • Finish the wizard

The system saves your changes and possibly adjusts any existing or possible entitlements according to the transfer.
