To perform various enterprise resource management tasks, basic information about the company setup is required. In Matrix42 Software Asset & Service Management this basic information is called master data. It includes details about organizational structure, locations, and employees, as well as currencies and business partners.
Before you start working with Matrix42 Software Asset & Service Management, you should fill in the master data. Make sure that all objects can always be uniquely identified. You can either enter master data manually via the user interface or automatically via the respective import options for Matrix42 Software Asset & Service Management.
As much information as possible should be added about employees in Master Data and computers in Assets, as these two objects will form the central elements of management and acquisition processes.
What is the ownership of an object
The ownership data plays an important role in many situations, such as:
- If an employee's asset is defective, the IT technician will find the employee more quickly via their location, e.g. Building B, 2nd floor, room 203.
- In license management, it is necessary to maintain the organizational units and, if applicable, cost centers and locations. When different licenses are purchased through different organizational units, the allocation of licenses can be organized by using license pools.
- When using the service catalog, it is necessary to maintain cost centers.
- Cost centers are also required to allocate the cost of services ordered through the self service portal.
What objects constitute the master data
The Master Data application contains the following objects.
In a hierarchical structure, organizational units represent your company's divisions, departments, etc. Required for reporting and contractual restrictions.
In a hierarchical structure, locations represent your company's branches across regions, countries, cities etc. Required for reporting and contractual restrictions.
A cost center is an operating unit that is used to control business processes and related expenses. Required for reporting, contractual restrictions and cost management.
The Person configuration item stores identification data of an employee.
User accounts identify persons who work with Matrix42 Software Asset & Service Management. Usually they belong to the Active Directory domain and should be assigned to employees. User accounts can be members of one or more Active Directory groups.
Skill is a particular category of knowledge, abilities, and experience necessary to perform a task. Skills functionality is largely used in the Field Service Management package.
Active Directory or Azure Active Directory group is a collection of Active Directory / Azure Active Directory objects.
Device configuration groups
Device configuration groups are entities used in AirWatch MDM for grouping mobile devices.
In task templates you define default values for task's category, SLA, priority, recipient, etc. If a task is linked to a task template, it automatically inherits all properties of the template.
Task categories for classification of tasks.
Companies that are listed as business partners act as suppliers and/or manufacturers for asset, license and contract management.
Contact persons in other companies that are registered as business partners.
Currencies and currency exchange rates
Required for the catalogs in Service Catalog and cost management in Assets, Licenses and Contracts.
