Getting started with Digital Workspace Platform SaaS

Getting Started

Authentication

After your first login, you should think about the Login method you're going to provide to your users. There are quite a few possibilities that you can configure. 

For Azure Active Directory (AAD) integration it is possible to use MyWorkspace as Identity Provider or use the native Integration with Version 10.0.1 and higher.

The following authentication methods are possible: 

Sending E-Mails

We provide a pre-configured SMTP Server with your Installation so you could start sending mails right away with your Digital Workspace Platform SaaS from Incidents for example. You can change this configuration at any time and replace it with your own SMTP Server if available from the internet. To configure Service Desk to receive E-Mails from a mailbox which is reachable from the internet follow this guide here.

We highly recommend to change the pre-configured SMTP Server to your own when you are using Digital Workspace Platform productively. With the default SMTP Server provided by Matrix42 you cannot change the Sender E-Mail address which must end with @m42cloud.com, otherwise, E-Mails will be rejected. You are also not able to change SMTP related settings or will be able to see logs, activity, etc. 

Customization

If you want to start model and customize your Digital Workspace Platform SaaS you can start with two powerful tools that we offer to build use cases & workflows on your company's demand. 

  • Workflow Studio: This tool allows you to generate workflows based on your data to automatically trigger any desired things that you might need to fulfill almost any need of your use cases. This graphical tool can be downloaded in your Administration area. 
    You will find the download in your Administration > Services & Processes > Workflows Area. You need to install the Click-once Add-on if you're using Chrome or any other Browser that is not IE (You'll find the install link also in the same place).   • Solution Builder: You like to create new designs, new dialogs, or new data fields? The options are countless when using the Solution Builder to design new Workspaces, Apps, Designs and more. The Solution Builder offers deep ways of customizing your Digital Workspace Platform in a graphical user interface within your Browser window. 
    Solution Builder can be started when in a context of an object. For example, you could open Administration > User Interface > Layouts > Dialogs and highlight a Dialog you want to edit, and click "customize", the Solution Builder will then Start in a new Window. This can be done for many objects in the Digital Workspace Platform. More details can be found in our Solution Builder samples documentation here.

There are some rules that have to be followed to avoid issues in future system releases. For more details, see SQL queries limitations in customizations.

Data Providers

Data Providers are connectors to other Systems which are able to import and transform data from those. If you have ordered another Matrix42 Product as a Cloud Service which is capable of importing data, this connector is pre-configured and ready to use with default settings. You can change this anytime. More details about Data Providers are documented here.

When configuring Data Providers in the Digital Workspace Platform SaaS that should connect to Systems in your Infrastructure you always need to deploy a Worker in your Infrastructure to be able to import data from your network to the Cloud Service.

Data Gateway

Matrix42 Digital Workspace Platform provides a set of tools and components for integration with any external system via Data Gateways. It could be anything from ERP and CRM systems to CSV files on a file share or endpoint devices for which the hardware and software inventory should be made.

The Data Gateways are being replaced with new Technology. The change will be effective with the Q4/2021 Release and the migration will happen automatically in the background for all Data Gateways except Remote Data Gateways. Remote Data Gateways can be replaced with the new Technology after the update to the Q2/2021 Release 10.1.0 and have to be replaced until the Update to the Q4/2021 Release 11.0.0.

The new technology is based on the Matrix42 Worker Technology. A free subset of the Matrix42 Worker Technology will automatically be made available to all customers with and without the Digital Workspace Platform (DWP) Subscription with the Q3/2021 Release. No additional license certificates have to be installed.

Worker

Since 10.0.1 release, Matrix42 Worker becomes the universal approach for executing asynchronous background tasks in the Digital Workspace Platform. It also can play the role of the Data Gateway, or in other words, can be installed remotely and carry out the tasks for collecting data for Data Providers (as Matrix42 Data Gateway does). Custom Reports

Custom Reports and their folder structure are removed during the Matrix42 update in case they are deployed only to the Report Server. To avoid Custom Reports removal by the system update, custom report files need to be always present on the Application Server and uploaded as Configuration Packaging. How to do this is described on this page. In this case, the Custom Reports are added to the file structure on the Server disk and then deployed to the Reports Server automatically with the Configuration Package installation or update.

Cloning for Pre-Production System

Customers who have purchased a pre-production system SaaS will receive an empty system with the initial delivery, which does not contain any data from production. For the initial clone as well as for all further clones from production to pre-production the opening of a ticket is necessary.

File storage services

With a new "File storage service" extension, that is automatically installed for all environments, you have full control over the files you upload to the system: maximum files per object, extension, size, roles, or even file storage type. For detailed information, see Matrix42 File Storage Services.
