Tracking costs for master contracts, volume license agreements, and purchase contracts

Overview

The Total Costs and Current Year charts are displayed in a preview of master contracts, volume license agreements, and purchase contracts. They visualize the aggregated data on all costs pertaining to a selected contract. For a purchase contract, these charts are based on all costs plans and bookings of contract items that belong to this contract. For master contracts and volume license agreements, the charts use costs' data of contract items of all child purchase contracts.

Analyzing all costs for a contract

To access the charts:

  1. Open the Contracts application and go to the Master Contracts or Purchase Contracts navigation item.
  2. Click any item. If this contract has subordinate contract items with related bookings and cost plans, the preview displays the Total Costs and Current Year charts.

Both charts use the same logic and show similar data. The only difference is that the Total Costs chart calculates and displays information independently of the current date and the Current Year chart calculates and displays information in relation to the current date.

The charts can show the following values:

  • Actual and Remaining. If sum of all costs that are recorded by the bookings is less than amount of all cost plans, the charts display the sum of all bookings as Actual and difference between cost plans and bookings as Remaining.

  • Planned and Exceeded. In case sum of all costs that are recorded by the bookings exceeds the amount of all cost plans, the charts display the sum of all cost plans as Planned and difference between bookings and cost plans as Exceeded.

Hover over the slices of the charts to see exact numbers of the costs. Note that costs’ data is always displayed in the system currency.
